Terms and Conditions – Martsam Tour & Travel

To make your travel experience smooth and enjoyable, we’ve outlined the key aspects of our terms and conditions.

1. What does "Tours" include?

Our tours cover everything that Martsam Tour & Travel arranges on your behalf, such as hotel accommodations, excursions, transfers, rentals, and much more. We’re committed to ensuring that your trip is fully coordinated and stress-free!

2. How is the trip cost determined?

The trip cost is based on the final itinerary, which we confirm via email. It’s a comprehensive package, and while we don’t provide individual breakdowns, rest assured that all inclusions are clearly listed in the final agreement. International flights are generally not included, but domestic flights often are, and we’ll specify any flight-related details in your itinerary.

3. What expenses are not included in the trip cost?

Certain expenses, such as departure taxes, passports, visas, personal purchases (like drinks and laundry), medical expenses, tips, and optional excursions, are not included. We aim to keep you informed, so there are no surprises. If your trip is extended or delayed for reasons beyond our control, any additional costs will also be your responsibility.

4. How do payments work, and what are the deadlines?

To confirm your reservation, we require an initial deposit, an Emergency Travel Form from each traveler, and a Release of Liability. Once these are in, we can hold your spot.

– A 25% deposit is required at the time of booking confirmation.
– Full payment is due 30 days before departure for Guatemalan tours and 45 days before tours in Belize, Mexico, and Honduras.

Full payment is required immediately for bookings made within 30 or 45 days of departure. Holiday trips may have particular payment schedules, which we will share upon confirmation.

If payments are not made on time, we may need to cancel your reservation, and cancellation fees will apply. Don’t worry; we’ll send you a detailed payment schedule and are always available to answer questions.

5. What happens if I need to cancel my trip?

We understand plans can change, so please notify us in writing if you need to cancel. Your cancellation will be effective from the date we receive your notice. Here’s a quick overview of our cancellation policy:

– **31+ days before the trip**: Non-refundable deposits will apply, plus a 10% cancellation fee of the total trip cost.
– **30-16 days before the trip**: Non-refundable deposits and a 25% cancellation fee apply.
– **15 days or less before the trip**: Unfortunately, 100% of the trip cost is non-refundable.

We highly recommend purchasing travel insurance to protect your investment.

6. Do I need travel insurance?

Yes, we strongly recommend purchasing travel insurance to cover any unexpected situations. This insurance can include trip cancellation, medical expenses, and evacuation. We want you to travel with peace of mind, knowing you’re covered no matter what happens.

7. What responsibilities do I have as a traveler?

As a traveler, it’s your responsibility to ensure you’re well-prepared. This includes selecting a trip suitable for your interests and abilities, ensuring your health allows you to participate, obtaining all necessary travel documents (passport, visa, etc.), and packing appropriate clothing and gear. We’re happy to guide you on these details, but the final responsibility lies with you.

8. What documents do I need for the trip?

Your passport must be valid for at least six months from the time of travel. If your passport is close to expiring, you may be denied entry into your destination. We can help you verify your tour visa and entry requirements, but it’s your responsibility to ensure that all your documents are in order.

9. What if I have medical needs or concerns?

If you have any medical conditions or concerns that may impact your ability to participate in the tour, please let us know in advance. Our guides have the right to make adjustments for your safety and well-being. While we don’t guarantee medical services, we’ll assist with arrangements at your expense if an emergency arises. Having medical insurance that covers you while traveling is a good idea.

10. Are there any physical requirements for participating in the tours?

Most tours involve moderate activities, such as walking on uneven surfaces. We’ll inform you if a tour has more strenuous activities. Please ensure that you’re in good health and capable of handling the physical demands of your chosen trip.

11. Can the itinerary or guide change during the trip?

While we strive to keep everything as planned, sometimes changes are necessary due to unexpected circumstances (e.g., weather, airline strikes). If changes to the itinerary occur, we will inform you as soon as possible. We may substitute activities with comparable options, ensuring your experience remains enjoyable and fulfilling. We also reserve the right to change guides if needed.

12. What authority does the trip leader/guide have?

Our trip leaders are here to ensure your experience is safe and enjoyable. If any issues arise, let them know, and they’ll do their best to resolve them. The leader’s word is final if a safety or conduct matter requires a decision. In rare cases, if a traveler’s behavior affects others’ enjoyment or safety, the leader may ask that person to leave the tour. We hope this is unnecessary, but we prioritize the group’s well-being.
